JOB DESCRIPTION FOR FRONT OFFICE AND RESERVATION SALES PERSON
JOB TITLE: Front Office and Reservation

JOB SUMMARY:
To assist in maintaining an organized, efficient and professional
office environment. To provide staff support in the form of clerical
and related office services. To provide services to customers
over the phone and in person. To make and process reservations
for guests.
DUTIES AND RESPONSIBILITIES:
1. Provide information regarding services and rental availabilities
to current and prospective customers and clients over the phone,
via email and in person.
2. Delegate and coordinate vendor and contractor services as directed
by supervisor.
3. Make reservations for vacation rentals.
4. Process reservations, including sending reservation and confirmation
letters and running credit card charges.
5. Perform all levels of customer service with property owners,
guests and vendors including check-ins, check-outs and helping
people with problems as well as providing concierge services to
guests.
6. Collect funds for rent, tax, fees, etc.
from customers.
7. Responsible for inspections of housekeeping and maintenance.
8. Set up and prepare homes in advance of rental check-ins.
9. Take inventory of homes and deliver supplies to homes.
10. Pick up and distribute mail daily.
11. Take prepared bank deposits to bank daily. Balance petty cash
daily.
12. Maintain files.
13. Perform errands and special projects as requested by supervisor.
14. Observe established policies and procedures.
15. Perform other job duties including but not limited to housekeeping,
grounds and hot tub maintenance or other property management functions
as requested by supervisor.
16. Be available for on-call emergency phone calls.
INTER-RELATIONSHIPS:
Contact with all levels of personnel within company, temporary
help, property owners, clients, customers, vacation rental guests,
vendors and contractors.
WORKING CONDITIONS:
1. Part-time to train; moves into full-time after 90-day Introductory
Period.
2. Requires some weekends, holidays and occasional evenings.
3. Requires some travel for professional seminars (generally 1-2
times a year).
4. Requires use of personal car to perform some job duties throughout
the Villages of Mt Hood. Must have clean driving record, ODL,
clean registration and insurance. Must be able to and comfortable
with driving in snow.
SKILLS AND EDUCATIONAL REQUIREMENTS:
1. Ability to communicate effectively both verbally and in writing.
Type 30 WPM. Possess basic math skills.
2. Basic computer skills and understanding of Windows systems
for PC computers, including Microsoft Office, Excel and Outlook
programs and knowledge of Internet operations.
3. High school diploma.
4. Minimum 1 year of experience working at the Front Desk/Office
and in Reservation Sales for a lodging company during the past
3 years; experience working for a vacation rental management company
is a plus.
5. Familiar with the Mt Hood area including recreational opportunities.
6. Ability to perform a variety of tasks often on short notice.
7. Ability to handle a fast-paced, varied and busy work environment.
8. Ability to work alone and to be self-motivated and organized.
9. Positive teamwork attitude.

and records pertaining to temporary help, property owners, clients,
customers, vacation rental guests, vendors, contractors and all
employees will be kept strictly confidential during the entire
period of employment as well as after termination of employment.
2. The highest standards of accuracy will be maintained in all
data recorded and work performed.
3. All temporary help, property owners, clients, customers, vacation
rental guests, vendors and contractors and any other person contacted
on the telephone or in person will be treated in a friendly, personable
and professional manner.
4. Neat and well-maintained attire, hair and appearance to be
maintained at all times. Uniform and dress code in accordance
with personnel policies to be maintained at all times.
